Administrative Assistant (Legal) (TEMPORARY)

Duties




    • The primary role of this position is to be the Signature Admin for contracts, responsible for handling the signature process for all contracts processed through the Legal department.

    • Must learn quickly/become proficient in Legal systems and in using DocuSign.

    • Input information quickly and accurately into legal system databases.

    • Have strong organizational, prioritization, time management, and attention to detail skills.

    • Timely complete final stage of contract process, including reviewing financial approvals tied to contracts, obtaining internal and external contract signatures through Legal's Contract Lifecycle Management System (CLM) and using DocuSign and manual signatures when required, and properly printing and filing executed contracts in Legal's filing system.

    • Organize and maintain Legal Department contracts and files (both electronic and paper).

    • Handle internal and external requests and queries in a professional and timely manner.

    • Organize and schedule department meetings and events, send out invitations, order meals, and make other arrangements as necessary.

    • Draft and distribute correspondence using email, fax, and FedEx.

    • Assist in the preparation of regularly scheduled reports.

    • Provide backup for other Administrative Assistants when they are on meal breaks or not working.j

    • Assist with attorney or Legal department administrative tasks including drafting, revising, finalizing documents including Word, Excel, and PowerPoint, as needed.


Skills




    • Minimum of 2-4 years of experience providing administrative and clerical support.

    • DocuSign experience is required/or the ability to pick it up quickly and efficiently.

    • Strong written and verbal communication skills required.

    • Strong analytical skills required.

    • Strong computer skills in database management and documentation preparation (Word, PowerPoint, Excel) required.

    • Excellent organization skills and attention to detail required.

    • Must be able to work independently and use sound judgement.

    • Must be able to handle and prioritize a heavy workload and high volume of contracts and emails.

    • Must be able to multi-task.

    • Must be able to handle and maintain confidential information.

    • Must be self-motivated and able to work independently, yet be a team player willing to volunteer for tasks when needed for the betterment of the team.

    • Must have strong communication skills.

    • Must be regularly available between the hours of 8:30am and 5:00pm.

    • Must have a strong work ethic.

    • Experience within biotech/pharmaceutical industry or other contract-intensive fields a plus.

    • Experience with SpringCM, Livelink or other contracts and records management systems a plus.



    • Experience in paralegal services, contracts administration, or other relevant legal experience is a plus.


Education


Bachelor of Arts.
