Facilities Contracts Specialist 1

The Contracts Specialist supports key Maintenance Business Office (MBO) objectives with a particular emphasis on Contract preparation, submission, coordination, management, and department administration, and provider worker on-boarding. The Contracts Coordinator will be the primary interface between Facilities, Legal, and Finance departments to coordinate all contract processes related to timely support of Corporate and department goals.

Contract Specialist responsibilities:
• Serve as key point of contact for contract management between BioMarin Facilities, Legal, and Finance. Contracts may include confidentiality agreements, master service agreements, scope of work agreements, change orders, and Statements of Work (SOWs).
• Perform quality control review prior to submission and work with other parties as needed to resolve any issues discovered.
• Coordinate with contract requestors on the scope of work, type of services and PO/Financial requirements and submit the contract packages for Legal review.
• Track and communicate the contract status to internal and external stakeholders and manage expectations accordingly.
• Manage, follow up, and facilitate approvals of contracts within the contract administration system in accordance with BioMarin policies and procedures, as well as operational priority.
• Lead the contract process from initial request to contract execution and management for consulting agreements and other maintenance contracts as requested.
• Ensure timely, accurate and thorough data entry and tracking of contracts into departmental systems and databases.
• Provider worker on/off boarding

General responsibilities:
• Maintain department Livelink areas and tracking documents, become dept. Livelink point of contact / knowledge manager
• Work with vendors to compile documentation for GxP vendor qualification process.
• Administrative support such as maintaining the Service Provider contacts database, internal and external meeting scheduling/coordination, etc.
• Collaboration/Coordination with all levels of the Facilities Maintenance department• Provide additional administrative support for the Computerized Maintenance Management System (CMMS)
• Ability to work independently and prioritize work across multiple projects to meet due dates
• Others as needed / assigned

A Specialist in Facilities Contracts processes and maintains Master Agreements, Statements of Work (SOWs), and on-boarding and off-boarding of provider workers. This requires coordination with cross functional groups to ensure maintenance can be performed per schedule.

• Bachelor’s Degree or equivalent experience
• Individuals will be expected to take part in job-related training courses.

• Minimum of 2 years of directly related experience in contract administration or management (Law firm, or corporate outsourcing / procurement environment)
• Experience in a GMP regulated environment (part 11 compliance), pharmaceutical industry and/or clinical research environment highly desirable
• Highly organized, detailed oriented, able to keep up with many changes and multiple priorities, and coordinate multi-discipline projects
• Good negotiator and communicator. Able to interact and manage expectations of diverse stakeholders; work effectively with all levels of management and employees.
• Strong office software skills (MS Word, Excel) and Contract Management software such as Coupa Spend Management.
• Proficiency with standard office software applications, including MS Word, MS Excel, MS Project, MS Power Point, MS Outlook, SharePoint/O365

This function will perform majority of work in an office setting. Most of the work will be at a computer terminal and requires the use of teleconferencing software that utilizes video and audio.
While performing the duties of this job, the employee is occasionally exposed to work near moving mechanical parts; fumes or airborne particles; toxic or caustic chemicals; high pressure and temperature utility systems, risk of electrical shock and vibration.  The noise level in the work environment is usually mild.

This position requires ability to utilize a computer and other office equipment such as a phone/headset, sit/stand desk, chair, keyboard, and mouse.

There will be extensive contact with staff within Facility Services, Technical Operations, Legal, and Finance.
